Ask your manager to provide you with a responsive UI layout.\u201d As an exempt (salaried) employee, you won\u2019t have a Current Time Card and you don\u2019t need to speak to your manager or Payroll. <\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2384\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image11-4.jpg\" alt=\"\" width=\"1287\" height=\"345\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Your current timecard will appear in a spreadsheet format. <\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2418\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image45-1.jpg\" alt=\"\" width=\"1246\" height=\"524\" \/><\/p>\n<p><span style=\"font-weight: 400;\">If you have more than one Assignment (job), double click on the assignment name to view the dropdown menu and select the assignment for which you are entering hours. <\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2414\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image41-1.jpg\" alt=\"\" width=\"839\" height=\"555\" \/><\/p>\n<p><span style=\"font-weight: 400;\">After selecting your Assignment, double click in the \u201cHours Type\u201d field to view the dropdown menu.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Staff will see \u201cRegular,\u201d \u201cHoliday Pay,\u201d and \u201cHoliday Worked.\u201d<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Students will have only \u201cRegular.\u201d <\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2374\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image1-10.jpg\" alt=\"\" width=\"850\" height=\"389\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Find the date(s) for which you\u2019d like to enter time. Then add the <\/span>\u201cStart\u201d<span style=\"font-weight: 400;\"> and<\/span> \u201cStop\u201d<span style=\"font-weight: 400;\"> times of your shift.\u00a0<\/span><span style=\"font-weight: 400;\">Enter the hours of the time worked. Leave a space between the last digit and the \u201cAM\u201d or \u201cPM.\u201d <\/span><\/p>\n<p>Example: 9:00 AM.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2407\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image34-1.jpg\" alt=\"\" width=\"936\" height=\"379\" \/><\/p>\n<p><span style=\"font-weight: 400;\">If you need to enter a lunch break, you will need to make an additional entry on the line below your first entry.<\/span><\/p>\n<p>Example:<span style=\"font-weight: 400;\"> You worked from 8:00 AM &#8211; 12:00 PM, took an hour break for lunch, and then worked from 1:00 PM &#8211; 5:00 PM.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2389\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image16-4.jpg\" alt=\"\" width=\"927\" height=\"336\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Following the instructions above, enter your Start Time and Stop Time for the afternoon hours worked.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you need additional lines in your timecard, right click anywhere in the table and select insert row above or below.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2422\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image49.jpg\" alt=\"\" width=\"1237\" height=\"607\" \/><\/p>\n<p><span style=\"font-weight: 400;\">If you typically work the same shift during every pay period, you can copy a previous time card instead of reentering all of your time for each pay period. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Click the Copy icon above &#8220;Hour Type.&#8221;<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2378\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image5-7.jpg\" alt=\"\" width=\"695\" height=\"270\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Your previous timecard hours will populate at the bottom of the spreadsheet. Use the Sort feature to move it to the top. <\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2388\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image15-4.jpg\" alt=\"\" width=\"934\" height=\"331\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Once you have made your entries, click \u201cActions,\u201d and then choose \u201cSave and Close.\u201d<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2412\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image39-1.jpg\" alt=\"\" width=\"617\" height=\"241\" \/><\/p>\n<p><em>Note<span style=\"font-weight: 400;\">: Do not click \u201cSubmit\u201d if you plan to add more time to your Current Time Card. If you click \u201cSubmit,\u201d the system will send the time card to your Supervisor for approval.\u00a0<\/span><\/em><\/p>\n<p><span style=\"font-weight: 400;\">Click \u201cSubmit\u201d ONLY at the end of a pay period. You do not want to bother your supervisor with daily requests to approve your timecard. <\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-2416 size-full\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image43-1-e1776358995167.jpg\" alt=\"\" width=\"547\" height=\"219\" \/><\/p>\n<p><span style=\"font-weight: 400;\">If you accidentally clicked \u201cSubmit,\u201d you will still be able to make changes to your current timecard, but you will need to resubmit at the end of the pay period.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Before your timecard goes out for approval, you will be required to select &#8220;Yes&#8221; and &#8220;Submit and Close&#8221; on the following statement. Timecards that are not submitted with the attestation statement will not be approved or paid timely.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2411\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image38-1.jpg\" alt=\"\" width=\"679\" height=\"1350\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Once you have entered your time, Oracle will factor in approved Absences for the pay period. The system will also factor in any Overtime.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In Oracle, Overtime is split into \u201cStraight\u201d and \u201cPremium,\u201d and when combined Overtime will be 1.50 x your hourly rate.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Oracle will also automatically calculate \u201cSummer Hours.\u201d You no longer need to enter different hours during the summer. <\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2413\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image40-1.jpg\" alt=\"\" width=\"1600\" height=\"555\" \/><\/p>\n<h3>Updating Submitted Time Cards<\/h3>\n<p><span style=\"font-weight: 400;\">When you are reviewing a Time Card that you\u2019ve already submitted and that was already approved, use the Pencil icon to make corrections.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Click on \u201cExisting Time Cards.\u201d<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2387\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image14-4.jpg\" alt=\"\" width=\"621\" height=\"127\" \/><\/p>\n<p><span style=\"font-weight: 400;\">If you only see one timecard, clear the filter to show all.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2401\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image28-1.jpg\" alt=\"\" width=\"930\" height=\"383\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Click on the date of the timecard you need to change.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2404\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image31-1.jpg\" alt=\"\" width=\"934\" height=\"420\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Make the necessary corrections to your timecard. Right click in the cell for the date and time of the affected change if you need to add a comment. <\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2385\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image12-4.jpg\" alt=\"\" width=\"933\" height=\"261\" \/><\/p>\n<p><span style=\"font-weight: 400;\">When you submit your Time Card, the system will ask you for a \u201cReason for audited change.\u201d<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Click on \u201cManual correction,\u201d which is your only option for both \u201cReason\u201d fields.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2380\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image7-6.jpg\" alt=\"\" width=\"934\" height=\"536\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Click Submit Timecard in the lower right of the popup. Your time card will then go to your supervisor for approval. <\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2381\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image8-6.jpg\" alt=\"\" width=\"876\" height=\"540\" \/><\/p>\n<h3>Updating Missed Time Cards<\/h3>\n<p><span style=\"font-weight: 400;\">Click on \u201cExisting Time Cards.\u201d<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2387\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image14-4.jpg\" alt=\"\" width=\"621\" height=\"127\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Click on the date of the timecard you need to access, or select \u201cAdd\u201d if you do not yet have a timecard created for the affected pay period.<\/span><\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-2392\" src=\"https:\/\/wp.stolaf.edu\/business-office\/files\/2026\/04\/image19-3.jpg\" alt=\"\" width=\"932\" height=\"487\" \/><\/p>\n<p><span style=\"font-weight: 400;\">Use the calendar icon to choose the date you need to enter.
