{"id":703,"date":"2015-08-20T10:24:05","date_gmt":"2015-08-20T15:24:05","guid":{"rendered":"https:\/\/wp.stolaf.edu\/communications\/?page_id=703"},"modified":"2025-09-15T08:46:59","modified_gmt":"2025-09-15T13:46:59","slug":"composing-an-entry","status":"publish","type":"page","link":"https:\/\/wp.stolaf.edu\/communications\/calendar-guide\/composing-an-entry\/","title":{"rendered":"Composing an Entry"},"content":{"rendered":"<div data-modular-content-collection>\n<p>Because the links for calendar entries are shared with the media, it is <em>extremely important<\/em> that the entries are accurate and include a fulsome, well-written description.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Composing a calendar entry<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li><strong>All event activities must be open to all campus community members. <\/strong>St. Olaf College prohibits all forms of unlawful discrimination in any education program or activity that it operates. Individuals may report concerns or questions to the Director of Equal Opportunity. The notice of nondiscrimination is located at\u00a0<a class=\"ProsemirrorEditor-link\" href=\"https:\/\/wp.stolaf.edu\/nondiscrimination\/\">stolaf.edu\/nondiscrimination<\/a>.<\/li>\n\n\n\n<li><strong>Keep the title of your events brief and to the point for user-readability.<\/strong> The title should ideally be four words or less.<\/li>\n\n\n\n<li><strong>All event descriptions should be written using complete sentences.<\/strong><\/li>\n\n\n\n<li><strong>The &#8220;Description&#8221; for each event should begin with a one-sentence &#8220;excerpt\/summary&#8221;<\/strong> that provides a brief overview of the event (this is what users will see when they hover over an event on the master calendar).<\/li>\n\n\n\n<li><strong>The remaining description of your event should include information about who is presenting the event and what the purpose of it is.<\/strong> A good rule of thumb is that if a visitor to campus who is not familiar with St. Olaf opened up the entry, would they understand what the event is and who is hosting it? This is why it is important to include titles of faculty and staff and the full name of the hosting office or department (e.g., the Piper Center for Vocation and Career and NOT just the Piper Center).<\/li>\n\n\n\n<li><strong>Do not use \u201cinside baseball\u201d terms or language.<\/strong> Remember that many prospective students and visitors to campus use this calendar to see what\u2019s going on \u2014 not to mention members of the media \u2014 and they often know relatively little about St. Olaf.<\/li>\n\n\n\n<li><strong>Do not use\u00a0\u201cwe\u201d or other first-person references in calendar entries.<\/strong> Instead, it is better to use the name of the organization hosting the event.<\/li>\n\n\n\n<li><strong>Selecting the &#8220;category&#8221; for your event is required, and we strongly encourage you to add at least one &#8220;tag&#8221; if applicable<\/strong> \u2014 these will play an important role in ensuring that your events show up on specific calendars (such as the Music or Fine Arts calendars) and in e-newsletters. And, of course, the more specific\/precise you can get with your event using categories\/tags, the better chance potential guests will have finding your event.<\/li>\n\n\n\n<li><strong>Use proper formatting for links.<\/strong> If linking to another St. Olaf page or website is useful (and it often is), please include the URL in the \u201cEvent Website\u201d field OR link to it within the calendar description by using the &#8220;insert\/edit link&#8221; button (which looks like a chain).<\/li>\n\n\n\n<li><strong>Submit your event at least two weeks in advance.<\/strong> Submitting an entry just a few days prior to the event does very little good \u2014 we aren\u2019t able to include it on the weekly media release, and fewer people are likely to see it on the calendar.<\/li>\n\n\n\n<li><strong>Do not add incomplete events to the calendar.<\/strong> If you do not have complete information for basic event details \u2014 who, what, where, when \u2014 then it is not ready to be added to the calendar. Adding incomplete events to the calendar with the idea that you will &#8220;come back later&#8221; to update it creates a messy, confusing calendar for our users. Incomplete events will be deleted.<\/li>\n<\/ol>\n\n\n\n<h4 class=\"wp-block-heading\">Before submitting a calendar entry, you should:<\/h4>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong> Make sure all text is spelled correctly.<\/strong><\/li>\n\n\n\n<li><strong> Double check that all names are spelled correctly AND that the individual\u2019s title is correct.<\/strong> The online campus directory and alumni online directory make this quick and easy to do.<\/li>\n\n\n\n<li><strong> Make sure the names of all campus buildings and areas are spelled correctly. <\/strong>For example, it\u2019s the Kings\u2019 Room (plural <em>and<\/em> possessive).<\/li>\n\n\n\n<li><strong>Check to see if the people you\u2019re referring to are alumni OR current students.<\/strong> If they are, include their class year.<\/li>\n<\/ul>\n\n\n\n<p><a class=\"btn\" href=\"https:\/\/wp.stolaf.edu\/calendar\/events\/community\/add\">Add\/Edit an Event<\/a><\/p>\n\n\n\n<h4 class=\"wp-block-heading\"><em>A few tips about class years:<\/em><\/h4>\n\n\n\n<p>When identifying current students or alumni by their class years, the two-digit year is preceded by an apostrophe. Do not insert a comma before the year.<\/p>\n\n\n\n<p><strong>Right:<\/strong> John Smith \u201987, Jane Doe \u201900<br \/>Wrong: John Smith, \u201987, Jane Doe, \u201900<\/p>\n\n\n\n<p>Identify alumni who have changed their names since birth, through marriage or otherwise, as follows:&nbsp;first name\/birth name\/present last name\/class year. Do not set off birth names with parentheses.<\/p>\n\n\n\n<p><strong>Right:<\/strong> Jane Doe Smith \u201970<br \/>Wrong: Jane (Doe) Smith \u201970<\/p>\n\n\n\n<p>Identify alumni couples who share a last name as follows: first partner\u2019s first name\/birth name (if different)\/ and class year followed by second partner\u2019s first name\/birth name\/the couple\u2019s present last name\/and second partner\u2019s class year.<\/p>\n\n\n\n<p><strong>Right:<\/strong> John \u201947 and Jane Doe Smith \u201945<br \/>Wrong: John and Jane Doe Smith \u201947, \u201945<br \/><strong>Right:<\/strong> John Smith \u201990 and Jane Doe-Smith \u201990<\/p>\n\n\n\n<p><em>NOTE: Word will automatically insert the apostrophe curling the wrong way (e.g., \u201801). Type a space in after the year, and it will curl the apostrophe the correct way.<\/em><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Make sure you\u2019re following these important \u2014 and frequently broken \u2014 style rules:<\/strong><\/li>\n<\/ul>\n\n\n\n<h4 class=\"wp-block-heading\">Courtesy titles<\/h4>\n\n\n\n<p>Do not use courtesy titles (Dr., Mr., Mrs., Ms.). On first reference, faculty members should be referred to by their full academic title and their first and last name. On second reference, their last name is sufficient.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Alumnus, alumna, alumni, alumnae<\/h4>\n\n\n\n<p>The word \u201calumnus\u201d indicates a man who has attended or graduated from a school; an \u201calumna\u201d is a woman who has done so. When referring to a group of men and women who have attended or graduated from a school or to more than one alumnus, use the word \u201calumni.\u201d When referring to an exclusively female group, use the word \u201calumnae.\u201d Do not use the phrase \u201calumni\/ae\u201d to refer to mixed groups. <strong>Avoid the word \u201calum\u201d when possible.<\/strong><\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Academic departments, divisions, and disciplines<\/h4>\n\n\n\n<p>Capitalize the full, formal names of academic departments, faculties, and divisions. Do not capitalize the names of academic disciplines.<\/p>\n\n\n\n<p><strong>Right:<\/strong> the Department of History, the History Department<br \/><strong>Right:<\/strong> the Department of English, the English Department<br \/><strong>Right:<\/strong> She teaches mathematics.<br \/><strong>Right:<\/strong> She became the academic administrative assistant of the Mathematics Department in 2001.<br \/><strong>Right:<\/strong> He presented his findings to the Natural Sciences and Mathematics Faculty, one of the five divisions of the college\u2019s academic program.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Academic majors, degrees, and honors<\/h4>\n\n\n\n<p>Except for languages (English, French, Norwegian, etc.) and studies related to geographical areas, the names of academic disciplines are not proper nouns and should not be capitalized. This includes references to disciplines in major fields of study, programs, and concentrations.<\/p>\n\n\n\n<p><strong>Right:<\/strong> He is a music major who also pursued Russian area studies.<br \/><strong>Right:<\/strong> He majored in American racial and multicultural studies and completed a concentration&nbsp;in financial management.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Academic titles<\/h4>\n\n\n\n<p>Academic ranks and titles are specific and not interchangeable. It is not appropriate to bestow the title \u201cProfessor\u201d upon someone who holds the rank of instructor \u2014 or vice versa. A person is \u201cProfessor of,\u201d \u201cAssociate Professor of,\u201d or \u201cAssistant Professor of\u201d a discipline or \u201cInstructor in\u201d a discipline.<\/p>\n\n\n\n<p><strong>Right:<\/strong> Associate Professor of Biology Jane Doe<br \/><strong>Right:<\/strong> Jane Doe, associate professor of biology, will be the keynote speaker.<br \/>Wrong: Jane Doe is Associate Professor of Physics and Director of the Center for the Study of UFOs.<br \/><strong>Right:<\/strong> Instructor in English William Shakespeare<br \/>Wrong: Instructor of English Yukio Mishima<\/p>\n\n\n\n<p><em>Exception<\/em>: Titles of the holders of named professorial chairs are always capitalized in full, whether they appear before or after the holder\u2019s name:<\/p>\n\n\n\n<p><strong>Right:<\/strong> Anton Armstrong \u201978, the Harry R. and Thora H. Tosdal Professor of Music<br \/><strong>Right:<\/strong> Tosdal Professor of Music Anton Armstrong \u201978<br \/><strong>Right:<\/strong> John Ferguson is the Elliot and Klara Stockdal Johnson Chair of Organ and Church Music<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Times<\/h4>\n\n\n\n<p>Use figures except for noon and midnight. A figure alone without zeroes is sufficient for the top of the hour. Use a colon to separate hours from minutes. Do not put a 12 before noon and midnight. Do not omit the periods in a.m. and p.m.<\/p>\n\n\n\n<p><strong>Right:<\/strong> 11 a.m., noon, 1 p.m., 3:30 p.m., midnight<br \/>Wrong: 2:00 p.m., 5pm<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Numbers in dates<\/h4>\n\n\n\n<p>Always use Arabic figures, without \u201cst,\u201d \u201cnd,\u201d \u201crd\u201d or \u201cth.\u201d<\/p>\n\n\n\n<p><strong>Right:<\/strong> October 16<br \/>Wrong: October 16th<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">\u201cConductor\u201d vs. \u201cdirector\u201d<\/h4>\n\n\n\n<p>A \u201cconductor\u201d is \u201ca director of an orchestra, choir, etc.,\u201d according to Webster\u2019s New World Dictionary, while a \u201cdirector\u201d is one \u201cwho directs a play, motion picture, etc.\u201d Refer to the leader of a musical ensemble as \u201cconductor\u201d and to the person who oversees the production of a play \u2014 or the annual Christmas Festival \u2014 as a \u201cdirector.\u201d<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">One space after a period<\/h4>\n\n\n\n<p>In text, follow a period with a <strong><em>single space<\/em><\/strong> before beginning the next sentence.<\/p>\n\n\n\n<p><em>To find other items in the <a href=\"https:\/\/wp.stolaf.edu\/communications\/writing-style\/\">St. Olaf Style Guide<\/a>, open the page&nbsp;and hit the \u201ccommand\u201d and \u201cF\u201d keys. This will bring up a search box. If you type \u201ccomma,\u201d for instance, it will highlight all areas in the guide that address the use of the comma.<\/em><\/p>\n\n\n\n<h4 class=\"wp-block-heading\">&nbsp;<\/h4>\n\n\n\n<h4 class=\"wp-block-heading\">Need to edit an event you&#8217;ve already submitted?<\/h4>\n\n\n\n<p>Editing an event is as simple as entering it. You can simply go to the &#8220;Add\/Edit an Event&#8221; link and log in \u2014 and any events that you&#8217;ve entered can easily be edited in a matter of seconds\/minutes.
