Compensation Act is a statutory, no-fault system of legal rules that provides for certain benefits for employees who are injured on the job or who contract an occupational disease arising directly out of and in the course and scope of their employment activities.<\/p>\n<p>The College provides a comprehensive workers\u2019 compensation insurance program at no cost to our employees that includes medical expense reimbursement, wage loss benefits, vocational rehabilitation benefits, and other benefits.<\/p>\n<p>If you experience or witness a work-related injury or illness, you must tell your employee:<\/strong><\/p>\n<ul>\n<li><strong>Get medical help if needed.<\/strong>\u00a0 Tend to the injury; do not simply continue working.<\/li>\n<li><strong>Inform your supervisor asap.<\/strong> \u00a0 A coworker can contact your supervisor if you cannot.<\/li>\n<li><strong>Download and fill out these two forms:<\/strong>\n<ul>\n<li><strong><a href=\"https:\/\/wp.stolaf.edu\/hr\/files\/2025\/02\/FirstReportOfInjury2025.pdf\" target=\"_blank\" rel=\"noopener\">MN First Report of Injury<\/a><\/strong>\u00a0(fill out #s 3 &#8211; 29; and if possible 30 &#8211; 35).<\/li>\n<li><a href=\"https:\/\/wp.stolaf.edu\/hr\/files\/2025\/02\/Form-2-FirstReportOfInjury-AdditionalQuestions2025.pdf\" target=\"_blank\" rel=\"noopener\"><strong>First Report of Injury \u2013 Additional Questions<\/strong><\/a>.<\/li>\n<li>Hard copies of both forms are available outside the HR office if needed.<\/li>\n<\/ul>\n<\/li>\n<li><strong>Return both forms asap<\/strong> <strong>to<\/strong> the College&#8217;s Workers&#8217; Compensation Associate (<a href=\"mailto:ceas@stolaf.edu\" target=\"_blank\" rel=\"noopener\">Pat Ceas<\/a>: 312 RNS) or to supervisor.<\/li>\n<li>We will contact you to confirm the details of your injury and then we&#8217;ll quickly submit your injury claim to the insurance company.<\/li>\n<li>Note: The longer you wait to report a work-related injury, the higher the risk in delaying or losing compensation benefits.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\"><strong>If you are the injured employee&#8217;s s<\/strong><\/span><strong>upervisor:<\/strong><\/p>\n<ul>\n<li><strong>Assist the employee in seeking appropriate medical care<\/strong> (even if this is simply an ice pack).<\/li>\n<li>Either help the employee fill out the\u00a0<strong><a href=\"https:\/\/wp.stolaf.edu\/hr\/files\/2012\/12\/FirstReportofInjury.pdf\" target=\"_blank\" rel=\"noopener\">First Report of Injury form<\/a><\/strong>, or provide the time and space to allow the employee to complete the form<\/li>\n<li><strong>It is important to allow the injured employee to describe how and why the injury occurred.<\/strong><\/li>\n<li><strong>Ensure that the form gets returned asap to <\/strong>the College&#8217;s Workers&#8217; Compensation Associate (<a href=\"mailto:ceas@stolaf.edu\" target=\"_blank\" rel=\"noopener\">Pat Ceas<\/a>: 312 RNS) or to the HR office (180 TOH; <a href=\"mailto:hrstaff@stolaf.edu\" target=\"_blank\" rel=\"noopener\">hrstaff@stolaf.edu<\/a>).\n<ul>\n<li>The form can be returned by you or the employee.<\/li>\n<\/ul>\n<\/li>\n<li><strong>Meet with the College&#8217;s Workers&#8217; Compensation Associate<\/strong> to discuss the root cause of the incident, and to discuss ways to reduce the risk of a similar incident happening in the future.<\/li>\n<\/ul>\n                    <\/div>\n your medical provider complete a Report of Workability\/Return to Work\/Fitness for Duty form (your medical provider has this form).<\/p>\n<ul>\n<li>This form will indicate when you can return to work and whether you will have work restrictions (temporary or permanent).<\/li>\n<li><b>You must have your provider fill out a new form after <\/b><b>every<\/b><b> medical appointment\/treatment.<\/b><\/li>\n<li><span style=\"font-weight: 400;\">A medical provider includes chiropractors, emergency room or urgent care visits, family doctors, etc.<\/span><\/li>\n<\/ul>\n<p><strong>If you do not have work restrictions:<\/strong><\/p>\n<ul>\n<li>Have your medical provider clearly write on the Workability form that you can perform your usual work duties without restrictions.<\/li>\n<li>Send a copy of the completed Workability form to the College\u2019s Workers\u2019 Compensation Associate (<a href=\"mailto:ceas@stolaf.edu\" target=\"_blank\" rel=\"noopener\">Pat Ceas<\/a>: 312 RNS) or to the\u00a0<a href=\"http:\/\/hrstaff@stolaf.edu\" target=\"_blank\" rel=\"noopener\">HR office<\/a>.<\/li>\n<li>You can return to work once you have submitted the <span style=\"font-weight: 400;\">form (if you had the medical appointment in the morning then you can return to work on the same day after the appointment)<\/span>.<\/li>\n<\/ul>\n<p><strong>If your medical provider <b>does place you on any sort of work restrictions<\/b><\/strong><strong>:<\/strong><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Ensure that the provider clearly lists\/describes the restrictions in the Workability report.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Ensure that the provider includes an end date for the restrictions (or the date of next medical visit).<\/span><\/li>\n<li>Send a copy of the completed Workability form to the College\u2019s Workers\u2019 Compensation Associate (<a href=\"mailto:ceas@stolaf.edu\" target=\"_blank\" rel=\"noopener\">Pat Ceas<\/a>: 312 RNS) or to the\u00a0<a href=\"http:\/\/hrstaff@stolaf.edu\" target=\"_blank\" rel=\"noopener\">HR office<\/a>.<\/li>\n<li><strong>Do not return to work until<\/strong> you receive clearance from us to do so.<\/li>\n<li>We will make reasonable efforts to provide accommodations and find appropriate light duty work that stays within the restrictions established by your doctor.<\/li>\n<li>If you return to a light duty position, you must agree to work within those restrictions, and you are forbidden from working beyond those restrictions to avoid reaggravating your injury.<\/li>\n<\/ul>\n<p><strong>If we can not accommodate the work restrictions:<\/strong><\/p>\n<ul>\n<li>You will stay home and continue recuperating.\u00a0 Do not perform restricted job duties (even while off campus) until your medical provider clears you of your restrictions.<\/li>\n<\/ul>\n                    <\/div>\n                <\/div>\n            <\/article>\n\n\t\t\t\n            <article  class=\"is-style-default wage will be paid <\/strong>even if you are unable to complete the remainder of your regularly scheduled shift.\u00a0 Enter your normal work hours for that date.<\/p>\n<p><strong>Reporting Lost Time.<\/strong>\u00a0 Follow these instructions to document <span style=\"font-weight: 400;\">lost time due to a work-related injury<\/span> (e.g., home from work while recovering; leaving work for a medical appointment).<\/p>\n<ul>\n<li>In Oracle, navigate to the \u201cTime &amp; Absences\u201d tile.<\/li>\n<li>Click on the \u201cAdd Absence\u201d tile.<\/li>\n<li>You will see the \u201cNew Absence\u201d screen and a dropdown menu with types of absences. Scroll down the list and select \u201cWorkers Comp.\u201d<\/li>\n<li>Enter the correct date and time(s).<\/li>\n<li>Click \u201cSubmit\u201d at the top right hand corner of your screen.<\/li>\n<\/ul>\n                    <\/div>\n                <\/div>\n            <\/article>\n\n\t\t\t\n            <article  class=\"is-style-default accordion__row site-panel__accordion-item href=\"payroll@stolaf.edu\" target=\"_blank\" rel=\"noopener\">Payroll Office<\/a>.<\/p>\n<p><strong>If your claim is accepted:<\/strong><\/p>\n<ul>\n<li>There is a three calendar-day &#8220;waiting period&#8221; when wages are not paid.<\/li>\n<li>Days 4 \u2013 10 &amp; beyond: wages are paid at 2\/3 your normal daily rate by the College&#8217;s insurance company (this rate essentially equals your normal &#8220;take home&#8221; pay).<\/li>\n<li>After Day 10: your first 3 days of wages will be reimbursed (at 2\/3 your normal daily rate)<\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Regardless of whether you are exempt or non-exempt, if your work comp claim is accepted or denied, you should still contact <a href=\"https:\/\/wp.stolaf.edu\/hr\/fmla-process-and-forms-2\/\" target=\"_blank\" rel=\"noopener\">FMLA<\/a>, <a href=\"https:\/\/wp.stolaf.edu\/hr\/benefits-2\/earned-sick-and-safe-time-2\/\" target=\"_blank\" rel=\"noopener\">MN PFML<\/a>, and STD processing.\u00a0 If your work comp claim is approved, you will still want the FMLA\/PFML job protection and PFML can supplement your work comp.\u00a0 The two won\u2019t make you whole but the additional PFML will add to the work comp benefits.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In the event your work comp claim is denied, NYL will already have your claim information and can then process it as a PFML or short term disability claim.\u00a0 NYL also manages our LTD benefit.\u00a0 If your absence exceeds 3 months,
