Cancellation Fees and Refunds

All cancellations must be submitted in writing to ios@stolaf.edu.  

Withdrawing Prior to Student Commitment Deadline

    • No penalty. 
    • Semester, Year and Summer Program Commitment Deadline – Early March 
    • Interim Program Commitment Deadline – Early May

Withdrawing Before Departure

    • Fall and Year-Long Programs
      • On or before June 1: no penalty
      • Between June 2 and July 1: $250*
      • Between July 2 and scheduled program departure: Cancellation fees are assessed as necessary and vary depending on program and date of cancellation. In no case is the fee less than $500*.
    • Spring and Spring with Interim Semester Programs
      • Before September 1: no penalty
      • Between September 1 and October 1: $250*
      • Between October 2 and scheduled program departure: Cancellation fees are assessed as necessary and vary depending on program and date of cancellation. In no case is the fee less than $500*.
    • Interim Programs
      • Before October 15: No penalty to cancel
      • October 15 to November 1: $300*
      • Between November 2 and scheduled program departure: Cancellation fees are assessed as necessary and vary depending on the program and date of cancellation. In no case is the fee less than $500*.

Withdrawing After the Program has Begun

    • Cancellation fees are assessed as necessary and vary depending on the program and date of cancellation. In no case is the fee less than $500*.
    • No refunds will be made to students who are terminated from the program as a result of disciplinary or behavioral problems.

*Note: If an individual student’s cancellation is due to the ongoing effects of COVID-19, AND the program host refunds all fees to St. Olaf, IOS will refund cancellation penalties paid to St. Olaf. Students who must withdraw from the program (whether before or after the program has begun) for medical reasons will receive a refund of all recoverable funds. The student must provide a doctor’s statement verifying that the student is medically unable to participate in the program.

Failure to Meet Prerequisite:

Some off-campus programs have a prerequisite. Students who are enrolled in a course that is a prerequisite for an off-campus program must satisfactorily complete that prerequisite in order to participate in the program. If the student does not satisfactorily complete the prerequisite course, he or she is responsible for all cancellation penalties related to the program.

Termination from the Program:

Prior to departure: If a student is terminated from the program by St. Olaf College as a result of disciplinary or behavioral problems, fees will be assessed as necessary and will vary depending on the program and date of termination.
After the program has begun: No refunds will be made to students who are terminated from the program as a result of disciplinary or behavioral problems.


IOS program fees are billed to St. Olaf student accounts. At the time of cancellation, if a student has not yet been billed, cancellation fees will be added to the student account as described above. If a student has already been billed or paid for program fees, IOS will adjust the St. Olaf student account to credit the student account and refund program fees, reducing the student program fees to the applicable cancellation fee amount, according to the dates/timelines above.
In the event that St. Olaf cancels the program, program fees “billed to student account” will be refunded or not charged.  St. Olaf is unable to refund payments made out of pocket, for example for passports, visas, or flights.  We encourage students to wait to pay for these items until off-campus study is assured or to seek out other methods of reimbursement, such as refundable flights or travel insurance.
