Trips using college vans are assess a mileage rate* of $0.65 per mile.<\/h5>\n<p style=\"text-align: center;\">Mileage rate includes gasoline, insurance and maintenance (charges are subject to change). Vans are available for reservation to staff, registered student organizations, and faculty. Please see <a href=\"https:\/\/wp.stolaf.edu\/business-office\/vehicle-use-policy\/\">St. Olaf&#8217;s Vehicle Use Policy<\/a> for full policy information.<\/p>\n<p>Anyone driving a college vehicle must be at least 18 years old and must be on the approved drivers list. Drivers must pass a motor vehicle background check and maintain the online Alert Driver safety training program certification (must be renewed every three years). Please complete the <a href=\"https:\/\/wp.stolaf.edu\/finance\/alert-driving-course\/\">background check and register for the training<\/a>.<\/p>\n<p>Due to the popularity of the vans, groups using the vans will be assessed a\u00a0<strong>$30 minimum fee per day of use or the standard mileage rate &#8211; whichever is greater<\/strong>. Alternative means of transportation should be used to avoid college vehicles from being parked for multiple days at a time when possible. This applies primarily to local trips (i.e. airport\/train station trips) where vehicles will likely sit unused.<\/p>\n<h3>Reserving a St. Olaf Vehicle<\/h3>\n<p>To reserve a vehicle, please use\u00a0<a href=\"https:\/\/wp.stolaf.edu\/scheduling\/\">25Live Pro. <\/a><strong>Please note that requests must be made at least one week of reservation to be guaranteed.<\/strong><\/p>\n<p>On your 25Live request, you must indicate the following:<\/p>\n<ul>\n<li>Destination<\/li>\n<li>Date and Time of Departure<\/li>\n<li>Date and Time of Return<\/li>\n<li>Unit name and cost string for the charge<\/li>\n<li>Number of people traveling<\/li>\n<li>Driver(s) name(s)<\/li>\n<\/ul>\n<p>A cancellation fee of <strong>$50\u00a0<\/strong>will be assessed if your request is not canceled within 24 hours of reservation.<\/p>\n<h3>Using a St. Olaf Vehicle<\/h3>\n<p><b><span data-contrast=\"none\">Van Parking + Key Pickup<\/span><\/b><\/p>\n<p><span data-contrast=\"none\">Key pickup is located at the <\/span><b><span data-contrast=\"none\"><span aria-invalid=\"spelling\">RecRe<\/span><\/span><\/b> <b><span data-contrast=\"none\">box outside the Buntrock 007 office.<\/span><\/b><span data-contrast=\"none\">\u00a0<\/span><\/p>\n<ul>\n<li data-aria-posinset=\"1\" data-aria-level=\"2\"><span data-contrast=\"none\">Prior to your reservation, you&#8217;ll receive an email from <span aria-invalid=\"spelling\">RecRe<\/span> with instructions for opening the corresponding box with your keys.\u00a0<\/span><\/li>\n<li data-aria-posinset=\"2\" data-aria-level=\"2\"><b><span data-contrast=\"none\">Note that the name on the <span aria-invalid=\"spelling\">RecRe<\/span> reservation will correspond to the 25Live Requestor.<\/span><\/b><span data-contrast=\"none\"> If the requestor is unable to pick up the keys, no problem! The Buntrock Office staff can help with the checkout during our <a href=\"https:\/\/wp.stolaf.edu\/buntrock\/\">office hours.<\/a><\/span><\/li>\n<li>Where possible, keys are available for pickup at least one day in advance for convenience.\u00a0<strong>This does not mean the van is immediately available for use &#8211; vans cannot be used <span style=\"text-decoration: underline;\">under any circumstances<\/span> outside the reserved time in 25Live<\/strong>.\n<ul>\n<li data-aria-posinset=\"2\" data-aria-level=\"2\">Vehicles are often used back-to-back and failure to comply will have implications on another client&#8217;s reservations, maintenance updates, or vehicle checks. Please be respectful of this campus-wide resource.<\/li>\n<li data-aria-posinset=\"2\" data-aria-level=\"2\">If you have an early start, you are required to reserve additional load in time in 25Live. All vehicle use is billable time.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><span data-contrast=\"none\">All vans are located in the parking lot to the left of Rand Hall. Numbers are displayed on the back of each van.<\/span><\/p>\n<p><b><span data-contrast=\"none\">Before Your Trip<\/span><\/b><\/p>\n<ul>\n<li data-aria-posinset=\"1\" data-aria-level=\"2\"><span data-contrast=\"none\">Complete a trip log scanning the QR code on the stickers located on the driver&#8217;s door and above the ignition.<\/span><\/li>\n<li data-aria-posinset=\"2\" data-aria-level=\"2\"><span data-contrast=\"none\">Check the key packets to verify the card holder has both an insurance card and credit card. These cards should be used to purchase gas for the vehicle during the trip.<\/span><\/li>\n<\/ul>\n<p><b><span data-contrast=\"none\">After Your Trip<\/span><\/b><\/p>\n<ul>\n<li data-aria-posinset=\"1\" data-aria-level=\"2\"><span data-contrast=\"none\">Refill the gas tank so it is at least 3\/4 full.<\/span><\/li>\n<li data-aria-posinset=\"2\" data-aria-level=\"2\"><span data-contrast=\"none\">Ensure the van is returned to the Rand lot. <\/span><b><span data-contrast=\"none\">Please park near the other vans so that all fleet vehicles are consolidated. <\/span><\/b><span data-contrast=\"none\">Check to make sure you parked within the parking space lines.<\/span><\/li>\n<li data-aria-posinset=\"3\" data-aria-level=\"2\"><span data-contrast=\"none\">Complete a trip log scanning the QR code on the stickers located on the driver&#8217;s door and above the ignition.\u00a0<\/span><\/li>\n<li data-aria-posinset=\"4\" data-aria-level=\"2\"><span data-contrast=\"none\">Put any gas receipts from the trip into the key packet.<\/span><\/li>\n<li data-aria-posinset=\"5\" data-aria-level=\"2\"><span data-contrast=\"none\">Refresh the van using the cleaning equipment inside the vehicle and return the van to its standard setup (seats folded up, trash thrown, windows rolled up, floor mats reset appropriately).<\/span><\/li>\n<li data-aria-posinset=\"6\" data-aria-level=\"2\"><span data-contrast=\"none\">Return the key packet to the Key-Envelope Drop located outside Buntrock 007 office. <\/span><b><span data-contrast=\"none\">Keys must be turned in immediately following your reservation.<\/span><\/b><\/li>\n<\/ul>\n<p><strong>Travel groups of 15 or more are encouraged to utilize a chartered bus<\/strong>\u00a0if the travel distance is greater than 50 miles one-way.\u00a0<em>\u00a0Northfield Lines<\/em>\u00a0is a trusted, local, transportation vendor. Please stop by the Office of Student Activities for assistance with bus reservations.<\/p>\n<p><strong>Please note: SMOKING\/VAPING in college vehicles is prohibited. <\/strong>Users who smoke\/vape in vans will be assessed a cleaning fee and may have their driving privileges revoked. Also, it is the expectation that the van be returned in a reasonably clean condition, with all trash removed from the vehicle.
