Cancellation Policy and Financial Penalties
- Before June 1: no penalty
- June 1 to June 30: $500
- July 1 through scheduled program departure date: students pay full program fee.
- Medical withdrawals: Students who must withdraw from the program (before or after the program has begun) for medical reasons will receive a refund of all recoverable funds. The student must provide a doctor’s statement verifying that the student is medically unable to participate in the program.
- Conditional Acceptances (based on academic performance in a prerequisite course or probationary status) for a fall semester/academic year program will be assessed in June. If adequate progress is not achieved, the student will be withdrawn from the program and incur a $500 fee.
- If St. Olaf cancels a program, no cancellation penalties will be assessed to any participant.
- No refunds will be made to students who are terminated from the program as a result of disciplinary or behavioral problems.
- All students must complete the Study Abroad/Away Cancellation Form to officially withdraw from a program for any reason.
- After the program has begun, no refunds will be issued to students who return home early from the program.
- In limited cases students may be able to apply for Trip Cancellation/Interruption Benefit. See the EIIA website for FAQ’s and Claim Forms.
The Cancellation Policy and Financial Penalties apply to all students, even those with 100% scholarship.

Student Accounts Adjustments
Smith Center program fees are billed to St. Olaf student accounts. At the time of cancellation, if a student has not yet been billed the program fee, cancellation fees will be added to the student account as described above. If a student has already been billed or paid for program fees, Smith Center will credit the St. Olaf student account for the program fee less the applicable cancellation fee amount, according to the dates/timelines above.
In the event that St. Olaf cancels the program, program fees “billed to student account” will be refunded or not charged. St. Olaf is unable to refund payments made by the student out of pocket, for example for passports, visas, or flights. We encourage students to wait to pay for these items until abroad/away study is assured or to seek out other methods of reimbursement, such as refundable flights or travel insurance.
