Purpose of Procedures:
To ensure tuition, room, and board are refunded appropriately to the student’s account in the event of a withdrawal from St. Olaf College.
Who needs to know these Procedures:
All St. Olaf College students.
Procedures:
Students must notify the Dean of Students Office regarding any withdrawal from St. Olaf. The Dean of Students Office will then contact the appropriate offices.

Special Refund Policy for Academic Year 2020-2021

The College understands the need for additional flexibility with the tuition, room and board refund policy this Academic Year with the changes taking place due to the pandemic.  The following temporary changes to the tuition, room and board refund policy will be followed during Fall 2020 and Spring 2021.

Tuition:

  • If the student withdraws by the end of 10th day, tuition will be refunded 100%.
    • Fall deadline for 100% refund = Wednesday, September 2, 2020
    • Spring deadline for 100% refund = Friday, February 26, 2021
  • If the student withdraws within one week after 10th day, tuition will be refunded at 80%.
    • Fall deadline for 80% refund = Wednesday, September 9, 2020
    • Spring deadline for 80% refund = Friday, March 5, 2021
  • If the student withdraws within two weeks after 10thday, tuition will be refunded 40%.
    • Fall deadline for 40% refund = Wednesday, September 16, 2020
    • Spring deadline for 40% refund = Friday, March 12, 2021

Room:

  • If the student withdraws before the first day of class, room charges will be refunded 100%.
    • Fall deadline for 100% refund = Wednesday, August 19, 2020
    • Spring deadline for 100% refund = Friday, February 12, 2021
  • If the student withdraws within one week after the start of class, room charges will be refunded 90%.
    • Fall deadline for 90% refund = Wednesday, August 26, 2020
    • Spring deadline for 90% refund = Friday, February 19, 2021
  • If the student withdraw by the end of 10th day, room charges will be refunded 85%.
    • Fall deadline for 85% refund = Wednesday, September 2, 2020
    • Spring deadline for 85% refund = Friday, February 26, 2021
  • If the student withdraws within one week after 10th day, room charges will be refunded at 80%.
    • Fall deadline for 80% refund = Wednesday, September 9, 2020
    • Spring deadline for 80% refund = Friday, March 5, 2021
  • If the student withdraws within two weeks after 10thday, room charges will be refunded 75%.
    • Fall deadline for 75% refund = Wednesday, September 16, 2020
    • Spring deadline for 75% refund = Friday, March 12, 2021

Board:

  • If the student withdraws before the first day of class, board charges will be refunded 100%.
    • Fall deadline for 100% refund = Wednesday, August 19, 2020
    • Spring deadline for 100% refund = Friday, February 12, 2021
  • If the student withdraws within one week after the start of class, board charges will be refunded 90%.
    • Fall deadline for 90% refund = Wednesday, August 26, 2020
    • Spring deadline for 90% refund = Friday, February 19, 2021
  • If the student withdraw by the end of 10th day, board charges will be refunded 85%.

  • If the student withdraws within one week after 10th day, board charges will be refunded at 80%.

  • If the student withdraws within two weeks after 10thday, board charges will be refunded 75%.
    • Fall deadline for 75% refund = Wednesday, September 16, 2020
    • Spring deadline for 75% refund = Friday, March 12, 2021
  • If the student withdraws within the first 6 weeks of the term, board will be refunded 60%.
    • Fall deadline for 60% refund = Wednesday, October 01, 2020
    • Spring deadline for 60% refund = Friday, March 26, 2021
  • If the student withdraws within the first 9 weeks of the term, board will be refunded 40%.
    • Fall deadline for 40% refund = Wednesday, October 22, 2020
    • Spring deadline for 40% refund = Friday, April 16, 2021
  • If the student withdraws within the first 12 weeks of the term, board will be refunded 20%.
    • Fall deadline for 20% refund = Wednesday, November 12, 2020
    • Spring deadline for 20% refund = Friday, May 7, 2021

Partial Drop
If a student drops from full-time to part-time before the first day of class, they will receive a full tuition refund but will be billed the part-time rate. Student’s aid is adjusted to reflect enrollment in part-time.

If a student drops from full-time to part-time after the start of the term but before 10th date, there will be no change to tuition charges or to institutional aid, but Pell and state grant will be recalculated based on actual enrollment.

If a student drops from full-time to part-time after the 10th date, there will be no change to tuition charges or to federal, state, and institutional aid.

Overload Charges

If a student drops from Overload to full-time before the first day of class, they will receive a full overload tuition refund and will be charged the full-time rate.
If a student drops from Overload to full-time after the start of the term but before 10th date, they will receive a full overload tuition refund and will be charged the full-time rate.
If a student drops from Overload to full-time after the 10th date, there will be no change to tuition charges or to federal, state, and institutional aid.
If a student is full-time after 10th date and adds an additional credit they will be charged the overload rate even if they also drop a course, after the 10th day.

Interim

There is no cost to the student for tuition, housing, or board plans if they are here for one full term in addition to interim.  Thus there will be no refund if the student does not participate in interim.

Summer 2020 Tuition

If the student withdraws by the 4th day of class, an 80% refund will be available

  • Summer Session 1 deadline for 80% refund = June 4, 2020
  • Summer Session 2 deadline for 80% refund = July 16, 2020

If the student withdraws by the 8th day of class, a 40% refund will be available

  • Summer Session 1 deadline for 40% refund = June 10, 2020
  • Summer Session 2 deadline for 40% refund = July 22, 2020
