    Winter Break Procedures

    Please follow the directions below regarding Residence Hall Closing, Winter Break Housing, and Checkout (if Applicable)

     

    TIMELINE

    Date Notes
    December 20 Residence Halls Close for Winter Break at 4 pm
    December 31 Residence Halls Re-Open for J-Term 1 pm
    February 4 Spring Term Move-in at 1 pm

    Winter Break Checkout

    Students must checkout of their residence hall at the end of the Fall term if leaving for any of the following reasons:

    • Studying Abroad for the J-Term and Spring Semesters
    • Graduation
    • Leave of Absence
    • Leaving St. Olaf College

    Formal Checkout Process

    • Students can schedule a formal checkout with their Area Coordinator.
    • Formal Check outs will take place Thursday, December  14—Wednesday, December 20
    • Check outs will be scheduled from 9:00 am to 12:00 pm and 1:00 pm to 4:00 pm.
    • All check outs need to be scheduled 24-hours in advance with your Area Coordinator.
    • Students will have the opportunity to appeal any room damages assessed during their check out time.

    Informal Checkout Process

    • Informal check outs can be completed at any time starting Thursday, December 14 at 9:00 am until December 20 at 4:00 pm
    • Residents will pick up a key envelope from the Area Coordinator’s office.
    • Residents will write their Name, Building, Room Number on the key envelope.
    • Once the resident has moved all of their belongings out of their room, the resident should put their key in the key envelope and slide the packet under the Area Coordinator’s Office door.
    • Residence Life staff will walkthrough the space at a later time to assess the state of the room.
    • Residents choosing the informal checkout process will not have the opportunity to appeal any damage fees assessed during the staff walkthrough of the space.

    Winter Break Closing

    Leaving for…

    Winter Break, Winter Break and J-Term, Study Abroad (J-Term Only)

    Winter Break Inspections will occur on December 19.  Please follow the steps below before your departure:

    • Clean up any messes or spills in your room
    • Take out any trash to the dumpster before you leave
    • Turn off any lights in the room
    • Unplug any appliances except your microfridge unit or fish tanks
    • If applicable: turn your thermostat down to low, but not off
    • Close and lock your windows and blinds/shades
    • Please take these important items with you before you leave for Winter Break:
      • Passports
      • Drivers License
      • Room Key(s)
      • Student ID
    • Students returning to campus for the J-term or Spring terms and returning to their same Fall 2023 housing assignment do not need to checkout with a Residence Life staff member before their departure.

    Residence Halls will re-open on Sunday, December 31 for students to return to campus before the start of J-Term classes.

    Winter Break Housing

    Card access to the Residence Hall spaces is restricted to students in need of housing over the Winter Break period (December 20 through December 30).  This application must be completed by December 15, 2023 at 11:59 pm.  Please follow the instructions below:

    • Log into SIS
    • Select “Applications”
    • Select “Winter Break Housing Application (Interim 2023-24)”

    Winter Break housing is free-of-charge for all enrolled students.

    Students who have not completed this application will not have card access into the Residence Halls starting December 20, 2023 at 4 pm.  Students will get card access back when the Residence Halls re-open for the J-term.

    Room Vacancy Preparation

    The Residence Life Office will be assigning New/Transfer students, Returning Students, and Students who have been abroad.  We want to make sure that each student receives a clean and welcoming space.

    • If there is a vacancy in your space, please make sure that one side of your room is vacant and clear of any personal belongings before you leave for break
    • Please make sure that your space is clean and clear to help any new student(s) transition into your space smoothly

    Meal Plan Support

    Bon Appetit offered meal plan support to all students who registered for Winter Break housing at no additional cost.

    Any late Winter Break registrations will not be eligible for Meal Plan support.

    The Stav Cafeteria will re-open for the J-term on Tuesday, January 2.
