You are invited to join us as an exhibitor for the St. Olaf Conference on Worship, Theology, and the Arts (CWTA) on the beautiful campus of St. Olaf College in Northfield, Minnesota. This year’s theme is “Scatter the Imagination of Our Hearts,” through which we will explore how the power of imagination can challenge, change, and inspire. The conference attracts participants from across the nation, including pastors, musicians and other artists who are leaders in worship planning and ministry. In addition to professional development and spiritual growth, we want our participants to see music and other worship materials from our exhibitors that they can take home to enhance the life of their congregations.

Based on feedback from our past exhibitors, we are offering two options this year:
1) 3-day exhibitor package (July 25–27)
OR
2) 1-day exhibitor package for our featured Exhibitor Fair Day (July 26)

Exhibitors will be placed in the Buntrock Ballrooms and will have ample space to set up. The Ballrooms will be locked each night so you’ll only have to set up and tear down once! New this year: we will also be hosting all our conference keynote Plenary Sessions in the Ballrooms in order to draw all conference participants into the Exhibitor area.

Our featured Exhibitor Fair Day will take place on Tuesday, July 26 and will feature dedicated free times throughout the day for conference participants to visit the exhibitor space with snacks, desserts and beverages provided.

location and Schedule:

The Exhibitor Fair will be held in the Ballrooms of Buntrock Commons along with the keynote Plenary Sessions. Exhibitors will have the option to be present for 3 days or 1 day of the conference, see the full Exhibitor Fair Hours at the top of this page. The Ballroom location will be a secure and locked space during hours when the Fair is closed.

Tuesday will be our Exhibitor Fair Feature Day. This day will feature the Exhibitor Fair with special refreshments and no other conference sessions scheduled during these times:
10 – 10:30am: coffee and treats
12 – 1pm: desserts
5 – 7:30 pm: beverages and light snacks

Food

We will provide up to 2 boxed lunches per day. Dinner is not provided.

Exhibitor Fair Fee Structure:

$300 (1 day) / $450 (3 day): Vendors will be asked to make a down payment of $150 (for both 1 day and 3-day options) at the time of registration. Based on conference participant numbers, we will be determining a final base fee which will not exceed $300 for the 1-day package and will not exceed $450 for the 3-day package. Fee includes:

(1) 6’ table with (2) chairs
Table Cloth
¼ page size logo in printed Exhibitor Hall directory, distributed at registration
Logo on the full online conference schedule webpage
Access to conference Plenary Sessions and Worship Services
Wednesday Evening Beer Choir Reception (for exhibitors who choose the 3-day package)
Boxed lunch for each day at the conference (up to 2 people per day, additional lunches can be purchased)

Additional Fees:

Additional table with cloth – $25 each
Handling/Delivery – $60 each way/per pallet
Handling/Delivery – $10 each way/per box <40lbs.

Exhibitors are responsible for their own reservations and payment. Please note that St. Olaf does not provide transportation between hotels and campus. There are a few options available for group booking rates.
