Process
- The supervisor initiates by submitting a response in the Request a Volunteer form.
- The Office of Human Resources reviews the response and sends the Volunteer Agreement to the supervisor.
- The supervisor completes their sections of the Volunteer Agreement and sends it to the volunteer.
- The volunteer reviews the agreement, provides email address, phone number, and signature with the date and sends the form back to the supervisor.
- The supervisor routes the form to the Office of Human Resources.
- Human Resources creates an account in Oracle for the volunteer, where the agreement will be filed.
- The Human Resources staff requests Background Checks as needed and assigns any required trainings to the volunteer.
- After completion of these steps, the volunteer is ready to start.
Requesting a Volunteer
Supervisors must start by submitting the request a volunteer form.
Access Privileges
Note: The following items are accessible at the supervisor’s discretion. The Office of Human Resources will ensure a successfully completed background check is conducted prior to the following access/privileges being authorized. The Office of Human Resources reserves the right to deny privileges, if necessary.
Keys – Various buildings, offices, storage areas, etc. may need to be accessed using physical keys which can be given to the volunteer.
Email Address and Oracle Account – Volunteers will obtain a St. Olaf email address and an Oracle account which will be requested by the Office of Human Resources.
Printing/copying – Typically if an email address and network account are requested, printing/copying is set up as well.
