Supervisors play an important role in teaching and mentoring student workers as they develop the skills they need for the future. At St. Olaf College supervisors are responsible for implementing a Workplace Skills Development program for student workers, as well as for training and performance management. Required Training
Training Requirements & Responsibilities
It is your responsibility to ensure that your student workers complete all safety training that is required for
their specific job before they can begin working, and to ensure that training is completed annually for any
returning students.
Moodle Student Employment Safety Training Course
All student workers are required to complete the general safety training video and accompanying quiz found in the Moodle Student Employment Safety Training Course once per academic year (if you are hiring in the spring and the student completed the Moodle course during a different fall job then they do not need to repeat the course). This safety training is paid time so please instruct your workers to log their hours under their current position in Oracle.
Safety Training Assessment Matrix
Review the training assessment matrix and check the Yes/No boxes to determine which job-specific training
are required for your student workers. Return the completed matrix to HR (hrstaff@stolaf.edu). HR will connect your workers with the EHS Training Coordinator to set up all required web/in-person trainings to begin the process of scheduling this additional training. Discuss these additional required trainings with your student workers so that your workers understand the reason for this additional training.
Performance Management
Establish expectations at the start of each term. Manage student employee performance by using the Workplace Skills Development model.
If a student chooses to end their employment, please notify studentwork@stolaf.edu right away and Student Employment staff will end the student assignment in Oracle.

Work Awards
Student Work Award Information
Both students and supervisors can access information on work awards. The Student Employment Office offers instructions for students on accessing work award amounts on our main website. Students can also reach out to staff in the Financial Aid Office (finaid@stolaf.edu) with questions or concerns regarding work award amounts. Supervisors and hiring managers can view work award balances for each of their student employees in the Ole Information System. Instructions for how to view work award balances can be found here.
Student Work Award Enforcement
We encourage you as supervisors and hiring managers to plan your total student labor and scheduling needs bearing in mind the total work award amounts of the students you hire. Once students reach the total value of their work awards, they will no longer be permitted to work on campus. Some flexibility may be available for students who are working in highly skilled or specialized positions. In the event that you have a student worker who is fundamental to your current operations but has exhausted or nearly exhausted their total work award amount, please reach out to the Student Employment Office at studentwork@stolaf.edu. Requests for additional work award funding from supervisors will be reviewed by staff in the Finance Office and Human Resources/Student Employment.
Budgeting
Accurate budget reports regarding your student workers’ wages and your department’s labor costs are not yet available to supervisors through Oracle. For budget reports related to student employment, please reach out to the Payroll Office at payroll@stolaf.edu.
